Configure the document types, series and numbering
Define which fiscal document each company issues, create the NF-e, NFC-e and NFS-e series, choose the issuing environment and follow the number each fiscal document receives.
Before you start
Use a user with the Fiscal Manager profile. Have the series and the last number used in each document model, and the environment in which the company will issue, homologation for tests or production.
Step by step
1. Check the document types
Open Fiscal > Configuration > Others > Fiscal Document. Each record is an official document model: 55 for the NF-e, 65 for the NFC-e, 57 for the CT-e, 58 for the MDF-e and SE for the NFS-e. The model code goes to the mod (document model) tag of the XML.
The documents marked as Is Electronic? go through authorization by SEFAZ or by the city hall. The others, such as the model 1 paper fiscal document, are registered and become authorized on confirmation.
2. Define the company default document
Open Fiscal > Partners > Company, choose the company and, in the Fiscal tab, open the Electronic Documents subtab. In Default Document Type, choose the model the company issues most, usually 55, NF-e. This is the document of the sales invoices that do not indicate another type in the operation line.
3. Create the series
Open Fiscal > Configuration > Others > Fiscal Document Series and click New. Fill in the series Code, with 1 to 3 digits, the Name, the Fiscal Document and the Company. Create a series for each combination of company and model, for example NF-e series 1 and NFC-e series 1 of Guatambu Móveis.
The series code goes to the serie tag of the XML and to the DANFE header, next to the number.
4. Choose the series of each operation
Open the operation in Fiscal > Configuration > Operations > Operation and, in the Fiscal Documents tab, indicate the document type and the series each company uses in this operation. This way the sale can come out in series 1 and the shipment in another series, if the company separates its numbering. Without this indication, the fiscal document uses the first active series of the company for the model.
5. Choose the environment and the version
In the company form, Fiscal tab, NF-e subtab, check the NF-e Version, 4.00, and the NF-e Environment. In Homologation, the fiscal document goes to the SEFAZ test environment, comes out with the tpAmb tag equal to 2 and the DANFE carries the SEM VALOR FISCAL mark. In Production, the fiscal document has legal validity.
The NFS-e has its own environment in the NFS-e subtab. Each fiscal document keeps the environment of the moment it was created.
6. Follow the numbering
The fiscal document number is assigned when the invoice is confirmed, by the series sequence, and goes to the nNF (document number) tag of the XML and to the DANFE header. The Next Number field of the series shows the number the next fiscal document will receive. Numbers already used and voided numbers are not repeated.
In the NFS-e, the confirmation numbers the RPS, and the NFS-e number comes from the city hall on authorization.
7. Check it in a fiscal document
Confirm a sales invoice of Guatambu Móveis. Click Detalhes, at the top of the invoice, and check the series and the number. Open the XML and find the mod (document model), serie, nNF (document number) and tpAmb (environment) tags. In the DANFE, the number and the series appear in the header and in the receipt stub, and in homologation the document carries the SEM VALOR FISCAL mark.
Expected result
Each company has its default document, the series of each model and the issuing environment defined, and the fiscal documents come out with series and number in sequence.
