Review receivables, payables and installments

Use due dates and outstanding amounts to follow collections and payments without losing the link to the invoice and fiscal document.

Before you start

Check the active company, the posted invoices, the payment terms and the payment mode. Compare the installment plan agreed in the sale or purchase with the installments generated on the invoice.

Step by step

1. Locate open installments

Open Invoicing > Accounting > Payments and Due List. Use the Receivables, Payables and Overdue filters and group by Partner or by Due Date. On each line, check the original amount, the residual amount, the due date, the days overdue and the payment mode.

2. Check the originating invoice

Open the invoice of an installment. Compare the number of installments and their total with the payment terms and the invoice total; the receivables tab of the invoice shows each installment with its due date. Check with the responsible team the discounts, advances and withholdings that change the amount to receive or pay.

3. Record and reconcile the payment

Use Register Payment or the configured payment order, with the correct journal, date, amount and reference. With a partial payment, the remaining balance stays open in the list. Reconcile the bank statement transaction with the payment to confirm the bank balance.

Expected result

Open balances and due dates reflect the registered and reconciled payments, with traceability back to the original invoice.

If something goes wrong

By default, the list shows only posted installments with an open balance. To find an installment that is already paid, remove these filters and check the active company. If an installment remains open after payment, open the payment and check its reconciliation with the invoice before registering another one.
