Maintain employee records, contracts and absences

Keep the employee, contract and absence data used in work planning and in personnel cost consistent.

Before you start

Have HR access and the approved employee and contract data. Personal data is visible only to the corresponding HR profiles.

Step by step

1. Review the employee

In Employees, create or open the employee record. Check the company, department, manager and work contact. In the Private Information tab, fill in the home Address and the CPF, which are required in the Brazilian employee record. Register the employee relatives when the company needs them.

2. Maintain the current contract

Click the Contracts button and open the current contract or create a new one. Check the contract start date, the Working Schedule and the wage. In the Brazilian contract, also fill in the admission type, the work regime and the HR responsible. Click Running in the status bar for the contract to take effect. The hourly cost used in cost analysis is kept on the employee record by the person responsible for it.

3. Request and approve an absence

In Time Off, choose the time off type and check the allocated balance, the dates and the working calendar. Submit the request. The approver checks overlaps and team coverage before approving or refusing it. Use the overview or the calendar to plan the work with the approved absences.

4. Review the changes of the month

At the end of each month, check the running contracts and the approved absences of the period. On a departure, check open tasks, document access and the contract end date before archiving the employee. The contract history stays on the employee record.

Expected result

Employee, contract and absence data are consistent for planning and for the month-end review.

If something goes wrong

If a contract does not appear as the current one, check that it is Running and that its start date is before the period you are consulting. If an absence lasts longer or shorter than expected, check the employee working calendar, the dates and the allocated balance of the time off type. Salary or schedule changes go into a new contract with its own start date, and the previous contract stays in the history.
